How it works
From public sources to a sourced card on a staff member's screen, with a person checking the work in between.
Five steps
Collect
Scheduled collectors read the public sources on your watch list: your council portal, your website, provincial and sector feeds, news, official accounts and approved public community spaces.
Record
Every item is stored with its source link, the date it was published and the date we collected it, in your municipality's own database in Canada.
Stage
AI drafts summaries and cards, such as a provincial change and what it means for you, or a risk with its evidence. Drafts wait for review.
Approve
Your staff approve, assign, archive or mark items not relevant. "Not relevant" teaches the system what to skip next time.
Brief
Approved items appear in the portal and in the 7 am brief, each linked to its source.
What appears without review
Plain records appear as soon as they are collected, with their source: council meetings, agendas and minutes, news headlines, capital-plan entries, and public posts from official accounts. Anything AI has written or interpreted (summaries, risk cards, issue cards, commitment status) waits for a person.
How we keep it running
- Every collector records each run. A watchdog flags any source that has gone quiet, including runs that succeed but add nothing new.
- Every cited link is checked daily; dead links are flagged and replaced with an archived copy where one exists.
- Your staff can see when each source last worked, in the portal's Settings.
Setting up a new municipality
- We agree scope and sign a contract, or you subscribe online.
- We fill in an intake sheet with you: council portal, website, open data, strategic plan, peers, official accounts, approved community groups, topics of concern, privacy-officer contact, retention period, and brief recipients.
- We create your private environment from an Ontario template and issue your first administrator login. Your administrator adds staff.
- Your privacy officer reviews the Privacy Impact Assessment before go-live.
